About the role

Provides and supervises subordinated staff in the administrative support to the Contracts Department in the processing and coordinating of all routine contracts thus assisting in enhancing the efficiency of various existing work functions including handling of confidential and sensitive issues. Presents a critical link between the Contract Management and all stakeholders and will coordinate all daily operational activities, escalating contract variance issues to the Senior Manager Contracts for corrective action.


Key accountabilities of the role

Operational

  • Supports in reviewing and formatting of contractual documents.
  • Administer Contracts Forms, updating Contract templates, Standard Terms and Conditions, Policies and Procedures, Internal Office Procedures and Work Instructions.
  • Controls contract database for maintaining records for tracking purpose and generating required reports.
  • Maintain and update a register of all templates and standard terms and conditions.
  • Communicate with internal departments and with outside companies, as and when required in relation to contract processing formalities, contract renewals, signature process, follow up on receiving documents and execution in an efficient and professional manner.
  • Act as a liaison between Contracts and other Departments by making the necessary administrative recommendations, coordinating the process with respective Contract’s representative, for efficiency and productivity metrics.
  • Manage, co-ordinate and maintain records of Communication (documents, faxes, Email).
  • Provide necessary administrative support including preparing meeting materials, reports, and minutes of meeting and distribute as required. Independently manage and perform administrative tasks based on set procedures and provide confidential administrative support.
  • Establish and organise a confidential filing system, categorise and maintain manuals, sensitive correspondence and other source material to enable easy retrieval of files.
  • Monitor the Contracts Management system to verify accuracy with the generated reports, correct and relevant information is available to the Contracts team.
  • Provides administrative support to the Lawyers and Managers.
  • Supervise and coordinate office administrative procedures, review, evaluate and implement new procedures.

Bachelor's Degree or equivalent


Previous Experience:

Essential

  • Experienced - minimum 4 years of job-related experience required

    Preferred

  • 5 years practical work experience in contracts, with necessary knowledge and administrative skills.

  • Fluent in both English and Arabic languages, both written and spoken.
