Job DescriptionThe Accommodation Contract Management Office (ACMO) administers and monitors the Facilities Management contract between The University of Reading and, halls accommodation service partners. We also issue the student licence agreements as landlord. Our partners provide a suite of related services such as cleaning, reception and maintenance, marketing and allocation. Our primary function is to make sure that students and guests in halls are receiving excellent and consistent services as written in the contract. The ACMO team is also responsible for managing stay@reading (the student summer vacation letting business). We are looking for an administrator and operations support team member. The individual must possess strong all-round office administration skills be an innovative problem solver able to see efficiencies and make improvement suggestions. The individual must be skilled at using large data containing spreadsheets, manage multiple inboxes and be confident using multiple electronic systems on a daily basis. Interpreting Information and recording in Excel is a key part of the daily workload. At certain times of the year there is the requirement for the post holder to be customer facing (mainly students and academic staff) so a confident communicator is also required. You must be able to work unsupervised at times, you will have attention to detail and be organised and forward thinking. We are an office that has a diverse remit which changes during the course of the year. The post holder must be flexible and adaptable to the changing nature and requirements of the business. The post holder will have the ability to help influence best practice and grow within a relatively new team. Overview of post;
  • Carry out all administration duties for the ACMO and stay@reading operation, managing multiple inboxes.
  • Communicate with a range of University stakeholders regarding accommodation bookings and requirements and any escalate related halls issues.
  • Maintain financial information and carry out financial processing such as raising purchase orders, matching invoices, tracking payments and keeping spreadsheets up to date.
  • Support the operations team by carrying out relevant tasks such as attending meetings, taking minutes and carrying out basic spot checks against FM service level agreements
  • Support ACMO operations teams in their functions (EG compiling reports, proofreading documents, providing data and information on any related task such as producing sales revenue against targets)
  • Make bookings and liaise with student visitors during the vacation residence period.
  • Set up and maintain all relevant office operating processes
  • Manage diaries, room bookings and refreshments for meetings
  • Be responsible for the hard and electronic filing systems
