The Impact You Will Have:

You will be responsible for all logistical aspects of a client engagement including: scheduling trainer resources, coordinating shipment/delivery of materials, revenue booking and billing of expenses for all aspects of Private Seminars, Custom and Consulting projects globally. You will serve as the focal point of contact for clients, the sales force, seminar faculty and others to effectively deliver world class customer service. You should be able to develop strong client and internal relationships and apply broad knowledge of event coordination and project management techniques. 


A Day in the Life:

  • Effectively receive and accurately input orders, schedule and coordinate resources and materials for all Delivery modes, including private seminars, virtual sessions, supplemental delivery components and other related selling transactions.
  • Communicate with external and internal customers regarding materials requirements, invoicing requirements, contract information and pricing and product questions and status
  • Coordinate the logistical details for Private Seminars
  • Manage backorders effectively
  • Maintain Trainer Certification status
  • Create reports and compile survey and evaluation results
  • Schedule trainer and negotiate when scheduling conflicts occur
  • Manage complex project fulfillment coordinating with internal departments as needed to meet contractual and revenue recognition needs, expense reimbursement and with enough detail to support corporate audits
  • Effectively receive and enter customer information, orders and invoices into databases timely and accurately
  • Process returns and credits, following authorization procedures and log cases following company policy
  • Enter participant and certification information as needed into customer database
  • Review contract and prepare customized invoice output as defined by customer
  • Support to assigned regional sales team
  • Take incoming calls from the Call Center queue
  • Other duties as assigned


What You'll Need:

  • High school diploma or GED required, bachelor’s degree or some college preferred
  • Previous work in event planning, meeting coordination or sales support a plus.
  • Excellent telephone communication skills
  • Computer literate: Microsoft Office experience required (including Word, Excel, Outlook), Salesforce.com and NetSuite familiarity preferred
  • Demonstrated Project coordination skills and to handle large complex accounts
  • Exceptional written and oral communication skills
  • Exceptional organizational, negotiation and documentation skills
  • Ability to work independently, prioritize and follow-up on commitments and take initiative to resolve issues
  • Excellent time management capabilities, with ability to perform under pressure
  • Ability to recognize additional customer needs and recommend solutions
  • Must enjoy working in proactive service environment
  • Ability to be comfortable with and actively involved in high rate of change
  • Demonstrated ability to work on a team
  • Desire for continuous learning and willingness to apply new skills in professional presence
