Responsibilities
- Acts as Secretary to the Management and takes dictation and instructions from the Management;
- Receives all papers documents from the departments for the notation, signature, information for appropriate action by the Management;
- Routes necessary documents assigned to the concerned department member for its appropriate action;
- Arranges appointments and meetings to be attended by the Management, inside and outside the office premises;
- Receives all incoming calls, visitors and guests of the Management;
- Performs office and general administrative services and works for the Management;
- Arranges, files and documents;
- Answers telephone calls and responds to customers’ / clients’ enquiries and transfers calls;
- Welcomes walk in costumers / clients and responds to their enquiries;
- Open initial files for new customers along with the necessary procedures;
- Handles and records meeting rooms time schedules;
- Handles all members calendars and meetings;
- Handles address records, telephone switch boards and extensions;
- Organise meeting rooms and manages catering services;
- Tracks and monitors office supplies and stationaries;
- Maintain reception security by following safety procedures and controlling visitors’ access via the reception desk (monitor logbook, issue visitor badges)
- Hosts clients and guest in waiting areas;
- Maintain safe, clean and tidy reception area with procedures by having the necessary stationery and material (e.g. pens, forms and brochures);
- Arrange travel and accommodations for trips;
- Perform other clerical receptionist duties such as filing and photocopying;
- Contributes to team effort by accomplishing related results as may be deemed necessary;
- Performs other related duties as may be deemed necessary.
Qualifications
- High school diploma or relevant work experience
- Ability to maintain a positive attitude
- Excellent communication skills
