The Academic Administration Officer is accountable for providing a range of administrative support activities to business areas within the Institute, supporting students through data records management, and by providing general administrative services including enrolments and graduations.

This position focuses on accuracy in managing student records and documents and ensuring administrative systems deliver required information and support to educational and commercial activities, continuously improving these as required. The incumbent works closely with customer engagement and business area staff, Chisholm customers and students.

Your key accountabilities will be to:

  • Provide data management services as the first point of contact for internal and external clients to ensure compliance with data and reporting requirements
  • Provide general administrative services to the business unit in accordance with agreed priorities and projects to ensure delivery requirements and standards are met
  • Process course cancellations/confirmations, refunds and transfers to all courses in the business area ensuring accuracy and quality of response
  • Provide administrative support to graduation ceremonies ensuring timeliness, communication and accurate records by coordinating information, invitations, awards, and the co-ordination of seating and attire
  • Input into identifying and implementing changes to drive cost effective outcomes and efficiencies across administrative operations in the area minimising wastage, duplication and unnecessary processes by focusing on continuous improvement

ABOUT YOU

You will have relevant qualifications ideally at a diploma level and/or extensive experience in providing high level customer focused administration within a complex environment.

Crucial to your success will be your proven track record in providing high-level administrative support in a fast-paced environment and have a high level of computer competence with strong Microsoft Office skills.

You will provide service excellence to and effectively engage a diverse range of internal and external stakeholders. You will also have proven experience in process improvement and excellent written and verbal communication skills. Knowledge of the advanced operations of the STRATA Student Management System would be highly desirable.

You are a highly motivated individual who has strong interpersonal skills and a commitment to attention to detail and accuracy excellence.
