The Office Administrator/Settlement representative is responsible for providing exceptional customer service and administrative support for claim settlement in a warranty environment, as well as providing Receptionist and Office Administrative support in the Vancouver Head Office


Key Responsibilities:


  • Provide exceptional customer service via telephone and written correspondence to clients who have purchased our product, auto dealerships selling our product and repair facilities that services our customers.
  • Liaise with Finance and LGM Customer Service Teams.
  • Provide reception support at the front desk. Includes answering phones and meet and greet of visitors
  • Administer, manage and distribute inbound/outbound mail, including priority post, packages, courier services and other correspondence. Pick up mail from mailboxes
  • Develop/maintain/audit relationships with vendors such as Office supplies/postage/couriers, beverages and foliage
  • Ensure the reception area is organized and clutter free
  • Manage office and kitchen supplies inventory
  • Ensure the office kitchens are tidy (loading and emptying dishwashers, wiping down counters, restocking coffee etc., especially after lunch).
  • Assist with claim settlement process to meet department service level agreements.
  • Facilitate credit card claim payment to repair facilities to meet department service level agreements.
  • Monitor customer service queues (phone, fax and email).

Required Skills:


  • Proficient with MS Office suite of products.
  • Excellent organizational and time management skills.
  • Excellent communication (oral & written)
  • Excellent attention to detail
  • Effective and efficient at multi-tasking
  • Courteous and professional telephone manner
  • Keyboarding skills of min 45 wpm
  • Bilingual (English/French) oral and written is an asset
  • Exceptional customer service

Education:


  • Post-secondary education an asset.

Experience:


  • 2+ years in an office environment
  • Automotive dealership experience in accounting, cashier, reception/service advisor
