Your job will be to provide a general administrative and secretarial support in day-today functions. Promotes high standards of corporate values through correspondence , telephone , and personal contact. Handles confidential and sensitive issues, which require a high degree of discretion and tact. Records / document control and maintenance for all correspondences related to managers office.
Accountabilities include -
Operational :
- Perform administrative and secretarial support with coordinating activities , conducting research and ensuring that requests are carried out.
- Handling inquiries and refer to appropriate person / department.
- Review and answer mail and inquiries and check if Executive action is required.
- Provide necessary telephone backup coverage , schedule appointments , meetings and travel itineraries, and coordinate related arrangements.
- Respond to complaints and request for information by assisting and explaining procedures and policies in response to inquiries within area.
- Take and transcribe dictation. Draft letters and internal memos. Process, handle and maintain all types of confidential information , anticipate and prepare meeting materials and charts.
- Coordinate the purchasing of office supplies and stationery and ensuring proper maintenance of all office equipment, performing other related duties as assigned to ensure the efficient and effective functioning of the work unit.
- Perform other department duties related to position as directed by the head of department.
about you
To be success in this role , you should have at least a high school graduation certificate with minimum of 2 years of relevant experience , having Certificate in computer application - ( MS Office ) and a Secretarial practice is preferred.
Job Specific Skills:
You should be Fluent in reading, writing and speaking English, also to be able to work independently as well as part of team. Working under pressure and doing tasks simultaneously is require. Ability to interact with high position in professional manner with an Excellent organizational skills. You should be mature in outlook, organized; extremely detail oriented and possesses strong follow-up skills with a good problem solving abilities. Having a baggage services background will be positive.
