Administrative Assistant

The candidate will be responsible for coordinating all logistics and administration aspects of the office, assisting management and the team in daily administrative tasks.

 

What You'll Do


  • Maintaining established departmental policies, procedures and objectives 
  • Admin support to the bonds portfolio management on a regular basis (entries, control of payments, information provider, solicitations, renewals, appendixes, filing of physical copies of policies, etc.);
  • Support the bonds group in data collection and recording whenever required (i.e. research and collection of legal/commercial data, data entry, etc.);
  • Handle the Brokers register, collecting and updating documents and data;
  • Coordinate with suppliers for service contracts and agreements;
  • Coordinate all logistics matter for office, including control and purchase of supplies, merchandise and office stationery;
  • Assist in meeting preparations (schedules appointments, assists visitors, prepares presentations, organizes meeting room, equipment, folders and documents) and take minutes of meetings when required;
  • Screening incoming calls and takes messages when necessary;
  • Maintains a comprehensive filing system for the office in accordance with relevant policies/procedures;
  • Manages the paper archive;
  • Organizing courier delivery and pick up, as well as sorts incoming courier packages;
  • Assisting in the coordination of HR activities such as training programs, desk set up for new hires, contact with labor consultant regarding employee matters, etc.;
  • Performing other administrative tasks as needed.

 

What We Expect

  • Minimum 1-2 years of experience in an Administrative role.

  • Preferable previous experience work experience in the Insurance industry (in bonds) 

  • University Degree 
  • Languages: Italian (high level) and English (intermediate/high level)
  • Proficient in MS Office (Advanced Excel, Word, and Powerpoint); Sage experience is a plus
