  • JOB PURPOSE
    Leads the Records Management program at Mary Kay in the areas of solving new business challenges and deploying solutions that drive efficiencies, business utilizations and protect the business. Responsible for appropriately managing records at Mary Kay from their creation throughout their lifecycle. This includes ensuring that all legal, financial and business requirements and obligations are met and that the necessary policies and procedures are in place and adhered to by all Mary Kay employees. Laserfiche Enterprise Content Management is used throughout the organization.

    Essential Duties And Responsibilities
    • Responsible for managing Global Records Management program Enterprise Content Management solutions, deployments and maintenance, including advising, recommending and providing direction to all markets and employees to help solve new document management business challenges. Specifically identifies the business needs of each department/market and works to ensure that needs are met through new or on-going Records Management solutions. Responsible for design and development of document processing and workflow solutions in response to all business department needs and resolving daily ECM issues. Assists in the development of document or content classification to facilitate information capture, search, and retrieval. Provides post-implementation support for ECM solution, including troubleshooting, maintenance and training. Develops, documents, and maintains standards, best practices, and system usage procedures for ECM solutions. Proactively monitors and ensures that Mary Kay is in compliance with business and legal requirements. Leads departments across the company (HR, Legal, IST, Finance, etc.) to determine appropriate retention and resolve any issues or concerns related to the records retention schedules. Responsible for effectively communicating the Records Management Program throughout the Company.
    • Supervises the Records Management Imaging team and sets priorities of the key focus for the Records Management Imaging Program. Manages overall priorities and objectives to ensure that the work is performed in a timely manner and with the upmost focus on operating at a high service level. Responsibilities include providing coaching, ensuring department training needs are met, managing of performance reviews and hiring staff as needed.
    • Oversees the development and implementation of specific training programs to enhance Mary Kay employees’ knowledge and execution of the Records Management Program. Establishes goals, outlines objectives to be achieved and sets target completion dates.
    • Leads in the development and implementation of service standards, process controls and service delivery requirements (e.g., for the storage, retrieval and delivery of records in all media). Provides support in identifying and specifying requirements for Records Management software to support RM service levels. Responsible for reviewing and ensuring the accuracy of the statistics reports, as required, for all aspects of the Records Management Program. Responsible for the execution, management and service levels of the offsite storage contracts.
    • Keeps abreast of developments and best practices in the Records Management industry by reviewing current literature, participating in educational programs, attending meetings or workshops, or participating in professional organizations or conferences.
    Knowledge, Skills And Abilities

    Education: Bachelor’s degree or equivalent related field and/or work experience in Records Management. Certified Records Manager (CRM) designation is preferred.

    Experience: 7+ years of experience in records management in the public or private sector and at least two years of supervisory experience; will have experience implementing and supporting the Laserfiche Enterprise Content Management application throughout an organization.
    • Must have a working knowledge of records systems and their application including form management, micrographics, archives, manuals, reprographics, word processors and mail management.
    • Demonstrated competence in records management and their application including inventory, development of retention schedules, management of media types, file classifications systems and techniques and principles supporting critical records systems.
    • Prior experience developing Record Retention Schedules, policies and procedures.
    • Must have prior experience leading a team and providing coaching and direction for the team.
    • Must be self-motivated and have the ability to work independently.
    • Must have the ability to perceive and analyze problems, develop solutions and make recommendations.
    • Must have advanced PC skills.
    • Must have excellent organizational and planning skills.
    • Must have strong communication skills both verbal and written and the ability to train others.
    • Ability to manage and communicate across functions including International.
    • Ability to lead projects involving resources from various functions such as IT, Business partners and other RM team member.
    • Must be a self-starter.
    • Knowledge of internet concepts and high level systems knowledge.
    • Must be resourceful and proactively address the needs of the department.
