As an Administrative Assistant your responsibilities will include:
  • Assisting Partners with managing their dynamic growing practices
  • Supporting projects by tracking deadlines, documenting budgets and reporting on progress
  • Preparing and editing engagement letters, invoices, reports and communications, including special projects (strong proofing and formatting skills are essential)
  • Managing calendars, travel, appointments and meetings
  • Regular contact with clients, CRA and MB Finance
  • Completing expense claims on behalf of the Partners and others as required
  • Preparation and presentation of financial statement packages
  • Coordinating and preparing invoices to clients
  • Managing contacts and prospects in Customer Relationship Management (“CRM”) tool
  • Managing correspondence on behalf of the Partners and Managers
  • Coordinating tax form assembly, filings and managing deadlines
  • Other duties as required

  • Post-secondary education with one year community college with an administrative background; 3+ years’ work experience in a busy professional services environment
  • Proactive, critical thinker and takes ownership of their administrative role and the impact that it has on the team
  • Professional and talented at building excellent interpersonal relationships and proven experience to work in a team effectively
  • Attention to detail, proof reading skill, organization and office administration skills
  • Discrete with a high level of confidentiality, available, autonomous and a self-starter
  • Skilled at working within tight deadlines on multiple projects
  • Proven experience at prioritizing tasks based on relative importance and urgency while working for several people at the same time
  • Strong multitasking and problem-solving skills
  • Excellent verbal and written communication skills
  • Capable of working within tight deadlines on multiple projects
  • Advanced experience working with MS Office using Word, Excel and PowerPoint
  • Experience with Client Relationship Management (CRM) tool and experience editing and formatting financial statements (using Caseware) would be an asset
  • Eagerness to learn and become a strong contributing member to our team
  • Overtime may be required periodically
