    This position is the primaryadministrative support for various sections within Facilities Management andDevelopment (FMD). Primary responsibilities include review and coding ofinvoices for accounts payable, reconciliation and posting of payments,processing of charge-backs and journal vouchers, management of contractissuance, issuance of requisitions for goods, records management and provisionof financial information and reports.

    Key Responsibilities:
  • Perform Administrativesupport functions by creating and managing documents using word processing,spreadsheets and database software (Moodle, Medgate, Kentico, Cority, SharePoint, WebEx, Service Now).
  • Support various HSS committees.
  • Manage the status of officepaperwork to ensure timely completion and delivery.
  • Perform variousreconciliations.
  • Preparing and posting ofjournal voucher entries, preparing internal chargebacks and bankreconciliations.
  • Receive and review paymentdocuments for accuracy, code for manager's review and approval and forward toAccounts Payable for payment in a timely and efficient manner. Work withmanagers, coordinators, external vendors and Accounts Payable to resolveissues/anomalies with invoices, payments, etc.
  • Utilize PeopleSoft to searchand obtain financial data, prepare journal entries. Process requisitionrequests and complete electronic receipt of goods as requested and manage allback-up to support PeopleSoft entries.
  • Generate financial reportsand assist with operating accruals, budget review and analysis.
  • General office duties asrequired.

  • Skills and Knowledge:
    Thesuccessful candidate must have good interpersonal and communication skills withthe ability to balance and organize conflicting priorities and high volume ofwork on an ongoing basis. Aself-motivated individual who demonstrates high accuracy and attention to detailin their work.

    Qualifications:
  • Grade 12 Diploma.
  • 5 years of related experience.
  • Certificate or Diploma inFinancial Accounting, Business, or Office Administration preferred.
  • Proficiencywith MS Office Suite.
  • Proficiencyin PeopleSoft Finance preferred.
  • Anequivalent combination education and experience may be considered.
