    The Conference Manager shall be responsible for the planning, organizing, management, administration, profitability, and effectiveness of the various conferences, seminars, business special events and education activities (including online activities), conducted for government and associations clients. 


    The Conference Manager will work internally with the Executive Director and externally with the senior leadership within the client’s organization on regular basis; taking a strategic approach towards achieving the client’s mission, goals and objectives.


    Job Accountabilities:

    • Develop and monitor overall project plans and critical deadlines for each conference; and liaison with key-stakeholders to ensure smooth and timely execution.
    • Develop and monitor conference budgets, provide regular forecasts and ensure set target bottom line is achieved and/or exceeded through effective sales and cost control measures.
    • Attend Committee meetings to obtain a greater depth of understanding about the conferene plans and program, assist with preparing meeting agenda’s, present progress updates, and maintain overall positive visibility within the client organizations.
    • Work closely with internal and external stakeholders to understand the priorities, issues, agendas, activities, programs, policies, and governance structures of the client organization, to ensure a smooth implementation of agreed programs.
    • Regularly consult the committee and assist in decision-making process, through making practical hands on recommendations.
    • Conduct site visits, evaluation, negotiation, and selection of conference venue and make recommendations on location, quality standards and pricing.
    • Manage procurement and supplier relations to ensure quality standards of delivery at fair and adequate market pricing.
    • Produce and manage conference floor plans; including set-up format for sessions, exhibition, registration desks, coat rack, food stations, networking functions, speakers ready room, breakout rooms, etc.
    • Oversee and control the implementation and coordination of various conference sessions and activities for the clients to the highest quality standards.
    • Forecast and monitor delegate sales and ensure appropriate marketing and communication plans using various tools and mediums but not limited to print materials, direct marketing, web site and social media.
    • Produce pre event briefing sheets, checklists and conduct staff and third party supplier briefings. Overall accountability for the smooth delivery of all aspects of the events.
    • Post Event; compose thank you letters to speakers and committee members and produce post event reports to the Executive Director and Committee including statistical information and lessons learned.

    Minimum Knowledge/Experience/Qualifications/Training


    A University graduate, with minimum 3 years hands on experience, within the professional convention management industry, preferably in the UAE.


    You should be an analytical thinker with a high degree of self-drive and commitment to achieve; you must also enjoy excellent communication, interpersonal skills and reasonable IQ level.


    Must be fluent in English both spoken and written, Arabic as well as other international languages will be an added advantage.


    Knowledge and expereience of working with the life sciences segment is a strong advantage.
