PURPOSE OF THE TASK

With due recognition of Takeda vision, values and policies and in accordance with Takeda Turkey’s strategies and business objectives; assigned responsibilities are;
  • Acting as an assistant to the IMM&GI Franchise Units and to carry out Franchise Team meetings, off-site activities etc.
  • Supporting the Franchise Head, including supporting department communication, compiling presentations, and other administrative tasks.

The position holder complies with Takeda principles and local legislation and regulations defending company interests. Nevertheless, as a requirement of the business ethics; defending the confidentiality of the organization as well as patients’ secrets, business plans, ideas and strategies against third parties.

Assigned responsibilities related to position requires travel and flexible working hours as the activities are executed in accordance with the stakeholders’/company’s’ available places, times and the timelines of meetings.

Responsibilities

In accordance with the general strategy and principles and in the interests of the company, in accordance with legal and ethical rules:
  • Representing the department in the best way within internal and external stakeholders
  • Assisting the field team and head office of the Franchise Unit
  • Planning, organizing and implementing organizations such as Period Meeting, Regional Meetings and Training Meetings with the support and guidance of Franchise Head and Product Managers when needed for the Franchise team
  • Organizing department & team dinners and celebrations.
  • Answering the questions and requesting received from field employees by phone and e-mail to the department and / or directing them to the relevant person.
  • Arranging travel organizations for Franchise Head, Product Managers, Business Leads, Regional Managers and Product Specialists / Account Leaders for Aircraft, Hotel, visa procedures etc.
  • Follow-up of stationery orders in the department and delivery of cargo / necessary documents to the field
  • Monitoring the cost and procurement processes of the Department, monitoring the purchase request (PO) and invoices, providing the necessary signatures on time and forwarding them to the Accounting / Purchasing or Congress Departments
  • Ensuring that the systems included in the operational processes of XN3, Cedi, Gears - Concur etc. are carried out in a coordinated manner with the business owners
  • Creation of agendas for cross functional meetings, invitations of related persons and meeting notes to the participants
  • If necessary, follow the department budget in coordination with the finance department and prepare the required reports
  • Working in cooperation with the related parties on product launches, organizing internal launch organization with product manager responsible for launch and assisting the related people in launching processes
  • Arranging field meetings with regional managers, product manager training, strategy meetings, organization of domestic and international meetings and logistics follow-up, all coordination and organization
  • Following-up of matters related to the compliance processes on behalf of the department. Following up the items that are subject to the approval process of the products and to carry out the necessary filing / archive works Follow-up and preparation of audit processes
  • Ensuring documentation excellence in audit processes
  • Obligated to communicate all the Quality complaints to the Pharmacovigilance representative within 24 hours to the Quality Officers and the Side Impact Notifications to which they receive notification within 24 hours
  • Collaborating with Congress & Events department, Franchise Head, BL,PM and the field team to fulfill the administrative duties during the congresses.

General Qualifications
  • Preferably has a Bachelor’s degree
  • Intermediate level of English
  • Has 3-5 years of experience in a similar role
  • Supporting MS Office programs and, if necessary, supports the preparation of presentations about the department.
